Relevant for: Normal observers, Lead observers, Moderators (see "User Roles")
At the top center, you will see the name of the selected assessment as well as an arrow on the left side, which will take you back to the overview of the observer interface.
On the right-hand side, you will see the "Edit Assessment" button.
This button is only visible in the observer interface if you have the Administrator role in addition to the observer role.
By clicking on the button, the administration interface opens and you can view and edit the selected assessment, i. e. you are forwarded directly to the administration interface without having to log in again. Further information on editing assessments in the administration interface can be found
here.
On the left side you will see a logo, which was either uploaded individually for the assessment or corresponds to the workspace logo if no individual logo was saved.
Below the logo, the status of the assessment is noted (Draft/Active/Completed).
You can download the notes from each exercise (at the end) of an assessment by clicking on "Export Notes" and then save, send, etc.
This button is only visible to you if you have been granted permission by the (workspace) Administrator to export files from the assessment. Further information on the authorizations of the user roles can be found here.
This button is only available once you have added notes to the assessment. Otherwise the button is greyed out and cannot be clicked.Next to the button there is the "Complete Assessment" button. This will finalise the assessment, meaning that no further ratings can be made or notes added. Only click this button if you wish to end the assessment in this way. A pop-up menu will appear for confirmation. This feature is only available to Moderators.
At the top centre, below the logo, you will see further information: the date, the organization, the target position and a description of the assessment.
When you click on the "Competency-Exercise-Matrix" button, you will see the competencies and exercises on which the assessment is based. All competencies and, where applicable, associated competency clusters are displayed row by row. All exercises in the assessment are listed column by column. The anchors indicate which competencies are observed and assessed in each exercise. Depending on the screen size, the matrix may require scrolling.
All general documents relevant to the assessment appear under "Documents". By clicking on them you can open them.
Schedule
Under "Schedule" you can see all the planned exercises of the assessment. Here you can scroll up and down.
Depending on whether the "Scheduler" function is activated, the schedule will look differently.
If the scheduler is deactivated, each exercise is listed here once, ending with the conference.
If the scheduler is activated, the view is role-specific and customized for each observer.
If you are a Lead observer or a Normal observer, you will only see the exercises to which you have been assigned and at the end the conference. You can see the exact date and time for each exercise, as well as the candidate you are observing. In addition, the Person icon will show you if you are the Lead observer of the respective exercise.
As a Moderator, you can choose between "For me" and "All" at the top.
- In the "For me" view, only the exercises to which you are assigned as an observer are displayed chronologically, as well as the conference.

- In the "All" view, each exercise is listed once, ending with the conference. This means that you as the Moderator can view and consolidate all exercises, even if you are not assigned to individual exercises as an observer.

Please note that Lead observers, Normal observers and Moderators will only see exercises in the schedule if these have been assigned to the scheduler accordingly in the administration interface. You can find more information about this here. If no exercises have been assigned to you, you will see the note "No exercises have been assigned to you" in the top right-hand corner of the schedule and the conference directly below it.
If the scheduler is activated, exercises are shown in white rather than in the assessment color when the respective exercise or the scheduled time window of the exercise is over. However, all functions can still be used. Clicking the Info-i icon next to the exercise name displays the following details: date, time, and the candidates and observers participating in the exercise, along with their assigned roles. You can also read the description of the exercise, if available.
You cannot assess, consolidate, open the conference, or complete the assessment if the assessment is still in draft status.
Under "Candidates" you will see all candidates of the assessment in the specific selected colors, for better differentiation. If documents have been stored for the individual candidates or the release of the self-assessment has been activated in the assessment (more information under "Self-Assessment"), a Folder icon appears behind the respective name. Clicking on the folder opens a new page. Here you can choose between share "Self-Assessment" and "Documents". Under "Self-Assessment", you can give the selected candidate permission for self-assessment in individual exercises.
Self-assessment can only be enabled if you have previously activated it in the administration interface. You can find out more about this here.
Only the exercises in which the candidate is also assessed are displayed here. In other exercises to which the candidate is not assigned, no self-assessment can be shared and carried out. To share the self-assessment for individual or all exercises, first click on the "Share" button in the top right-hand corner. Here you can click in the box to the left of the exercise name to select the exercises which you would like to share with the candidate. You can deselect the exercise by clicking in the box again.
After you have selected the desired exercises in which you want to share the self-assessment, click on "Share" or click on "Cancel" to not share the self-assessment for the exercises with the candidate.

Only Observers and Moderators can share the self-assessment with candidates on an exercise basis. Silent observers do not have this authorization.Under "Documents" you will see an overview of all documents of the respective candidate and all documents can be opened and shared directly from there. This is also where the reports for each candidate appear after you have conducted the assessment and generated the reports. The reports are visible only to the assessment Moderators.
Clicking the Share icon opens a pop-up window. Here you can view the sharing details and can also stop sharing by clicking the "x End Sharing" button on the right. Clicking "Confirm" confirms that you are stopping sharing, and the document will no longer be available in the candidate portal.
Under "Observers" all observers of the Assessment are listed with individual colors and you can see who the Moderator is. In addition, a Folder icon appears behind the respective name if documents specific to observers have been stored. You can open these by clicking on the name of the observer. The documents of other observers are not visible to you, you only see your own documents.
Complete Assessment
In the assessment overview, click on "Complete Assessment" in the upper right-hand concern (for Moderators only).
A pop-up window will appear, where you can confirm the completion of the assessment by clicking "Complete Assessment" or "Cancel".
Once you complete the assessment, no further changes can be made. Therefore, make sure that all exercises have been assessed and consolidated.
Although you cannot make changes after completing the assessment, the conference remains accessible, and the ratings given can be viewed and exported (see "
Status").
