Observers

Relevant for: Organisation Administrators, Administrators (see "User Roles in the Cockpit").
You have selected an Assessment to work on and are in the navigation menu on the left under "Observers". 

Here you can view, edit, and delete all Observers already assigned to your Assessment, as well as add new Observers. The number in the navigation menu shows you how many Observers have already been added.

You can sort your already added Observers by clicking on the headings "First Name", "Last Name", "Email" and "Role" according to these categories in ascending or descending order. By default, Observers are sorted by creation date. You can also see which and how many observer-specific "files" have been added. 

The list of Observers is side-scrollable.

For many Observers, it is possible that the desired Observer cannot be found on the first page. You can switch between pages by clicking on "Next" or on the "Page numbers" at the bottom of the page.


Assign Observers

To do this, click on "Assign Observer" in the upper right corner. A new page opens with various options. 

Under "Observer" you can select one of the Users already entered. In addition to the name, the assigned email address of the existing Users is displayed so that they can be clearly identified if, for example, there are identical names. Here you can also search for keywords.

You can choose between the roles of Silent Observer, Observer and Moderator. Silent Observers do not actively participate in the Assessment themselves, but they can view the consolidated scores in the Consolidation and in the Conference. Observers assess and actively participate in the Assessment. Moderators also actively participate in the Assessment, but additionally manage the results of the Assessment (see "Observer Roles"). 
You can also use the slider to the right of “Allow Export” to specify whether observers are allowed to download files from the assessment from the observer interface, such as notes or diagrams. This option is activated by default. Click on the slider to deactivate the data export authorization for the observer. 

At the top right under "Invite User" additional Users can be created. A pop-up window opens in which information about the new User can be entered. For more information, see "Create and edit Users". 



To save, click on "Create Observer" at the bottom right. The "Observers" page then opens again, where you now have an overview of all the Observers assigned to this Assessment.

To assign your Observer, either click on "Save" to automatically return to the overview or click on the "arrow" and then on "Save & New" to directly create another Observer. 

You can also add Observers to an active Assessment. These can then no longer be deleted, but can still be replaced (see "Replace Observers").  



Edit Observers 

To edit Observers, click either on the name of the Observer or on the "3 dots" on the far right and then on "Edit". A new page will open. 

Here you can see the "Role" you assigned to the Observer when you added him/her (see "Assign Observers") and you can change it. 

You can also upload observer-specific "files". These can be up to 10 MB in size and can have the following formats: PDF, PNG, JPEG and GIF.
To upload files you have several options: 
  1. Click the "Upload" button on the far right, 
  2. click on "Upload file" or 
  3. drag & drop a file into the field provided. 

All your uploaded files appear under "Document".

  1. When you move the cursor over the uploaded files, a small preview opens. When you click on the file, it opens in a pop-up window
  2. Click the "pencil" next to a file to change the file name. 
  3. If you click on the "3 dots" on the far right, you can download the file under “Download” or "Delete" the file. 



Replace Observers

To replace Observers, click on the "3 dots" to the far right of the Observers and then on "Replace". A pop-up window opens in which you can select another Observer. The assignments of the exercises in the Scheduler remain unchanged and only the name of the responsible Observer changes. In this way, the assignment can be quickly adjusted, e.g. in the event of the absence of individual Observers or other changes in the staffing.


Delete Observers

To "Delete" Observers, click on the "3 dots" to the far right of the Observers, or click on the “Recycle bin" at the top right when editing Observers. A pop-up window will open where you have to enter the name of the Observer you want to delete and click "Confirm" before the Observer is actually deleted. You can also click "Cancel" and return to the overview.

You can no longer delete Observers once the Assessment has been activated and is no longer in draft mode. Observers can then only be edited and replaced.
