Schedule

Relevant for: Organisation Administrators, Administrators (see "User Roles in the Cockpit").
You have selected an Assessment to work on and are under "Schedule" in the navigation menu on the left.

Here you can upload a Schedule as a file for your Assessment. If you have activated the "Scheduler" features, you have the possibility to create individual and interactive Schedules for your Observers as well as to define Lead Observers per exercise.


Schedule (file)

To upload a Schedule as a file (PDF, PNG, JPG), you have two options. Either click on "Upload file" or insert a file via drag & drop into the provided field. Then click on "Save". 


When you move the cursor over the preview field, an "x" and "3 dots" are displayed in the center. 

  1. Click the "x" to delete the uploaded file.
  2. Click on the "3 dots" to have a preview of the Schedule opened in a pop-up window. From here you can print, download and open the file in a new tab, among other things. 

You cannot share this Schedule with your Candidates. If you want to make documents shareable, upload them as described under "Competency Model" or under "Candidates".



Scheduler (interactive Schedule)

To be able to use the Scheduler, you must activate the Scheduler when creating the Assessment or afterwards when editing under "Features". For more information, see the articles "Create Assessments" and "Features". 


In addition, before you can start planning the process, you should first assign all Observers to your Assessment, create or assign a Competency Model and create all Candidates. If you have not done this (sufficiently), you will see a note under "Schedule". 


Once you have made all the preparations, you can start creating the individual Schedule. 


First, you can customize your Workspace: To do this, move the two slightly thicker gray lines to the right or to the left to have more or less space in each area. You can also use the zoom to enlarge or reduce the middle area, so that more or fewer times of day are displayed to you at once. At the top you can also select the date you want, if that goes over several days.


On the right side you can see the pool of previously unplanned exercises. 

  1. With the field next to "Group", you can display the exercises grouped by task or by Candidates. To delete your selection, click on the "x". 
  2. With the "Sort" function you can sort the Candidates, the tasks or the duration of the tasks alphabetically ascending or descending by clicking on the appearing sort symbol next to the headings. You can see which sorting is set in which column by a small "arrow". 

In the center you will find your Workspace and the individual Schedules of the Observers. The Schedule covers the period that you specified by start or end date when creating or editing the Assessment (see "Create Assessments").

  1. To schedule an exercise in the Schedule, drag and drop it from right to left in the column of an Observer, it will be assigned to the corresponding Observer. As long as you have not yet placed the exercise and move it over the area, the exact start and end time will be displayed. 
  2. If an exercise cannot be placed or an error message appears, then there is a time overlap for either the Candidate or the Observer. Place this exercise somewhere else in your Schedule.
  3. When you move the cursor over assigned exercises, you will see the name of the exercise and the Candidates, as well as the assigned Observers and the assigned Lead Observer. 
  4. There are two ways to unassign an Observer to an exercise. Right-click on the exercise and select "Unassign" or select the exercise and press the "Del" key or, on a Mac, the "Fn" and "Delete" keys. 
  5. You can create a group exercise and assign exercises to multiple Candidates by dragging and dropping an exercise onto another exercise (same exercise, different Candidates). Alternatively, you can add them manually in the details view.
  6. In addition, several exercises can be marked and moved at the same time. To do this, either hold down the CMD/STRG keys and click on the exercises or click and drag a marker over several exercises.

To open the detail view of an already assigned exercise in the center, double-click or right-click on it and click on "Edit event": 

  1. Here you can assign additional Observers for the exercise in question under "Observers" or delete Observers already assigned. The respective exercise will then automatically appear in the column of the newly assigned Observer. 
  2. Under "Candidates”, group exercises can be created by assigning several Candidates to an exercise. To do this, click on the arrow and select or deselect the desired Candidates. 
  3. You can assign the role of Lead Observer to individual Observers for the respective exercise under "Lead" or remove it by clicking on "x". More information about the role can be found below under "Lead Observer". 
  4. You can store rooms and/or meeting links in the "Room" field. These will then be displayed in the App behind the "info-i" at the corresponding exercise.
  5. Under "Start" you can manually adjust the start time, under "End" you can see the automatically adjusted end time of the respective exercise. 
  6. Click "Save" to save your changes, "Delete" to delete the exercise and all assignments and move the exercise from the workspace back to the right pane of unplanned exercises, or "Cancel" to discard your changes. 

Lead Observer

The role of the Lead Observer differs from that of a regular Observer in that the Lead Observer can consolidate the ratings of all Observers in the exercise. This only applies to the Lead Observer.


You can see which Observer is the Lead by the symbol in the upper right corner of the assigned exercise. If there is no Lead, there is an exclamation mark in the same place. This marking is also displayed in the App in the Schedule. 

The first assigned Observer is automatically assigned the Lead role. However, this can be changed by double-clicking on the exercise.


If you unassign an Observer to an exercise and the respective Observer was selected as Lead, the next listed Observer is automatically assigned as Lead. If no other Observer is assigned, the exercise will be moved from the workspace back to the right-hand side of the unplanned exercises.
