Report Templates

Relevant for: Organisation Administrators, Administrators (see "User Roles in the Cockpit").
You have selected an Assessment to edit it and are in the navigation menu on the left under "Report Templates".
If you are not (yet) using the reporting tool, you can see an overview page with further information about this feature here.

Otherwise you can see an overview of the report templates here if you have already stored templates when creating the Assessment (see "Create an assessment"). Otherwise, this overview is initially empty.
Incorrect templates are displayed with a red banner "Invalid Template" above the preview of the corresponding template.



Add report templates

Click on the "Upload" button in the upper right corner to upload a new report template from your computer to the Assessment. The file overview of your computer opens. Here you can upload ready-made templates in Word and PowerPoint format. To do so, select the desired template from your files and click on "Open" in the file overview. Alternatively, you can also add the template by double-clicking on the file name. 
In order to create a report template in Applysia, you must first create it in Word or PowerPoint. You can find more information about creating report templates here.
Alternatively, you can add report templates that you have already uploaded under "Templates" but have not yet added to the Assessment by clicking the "Select" button in the upper right corner. A "Select Reports" pop-up window will appear. Here you can place a check mark in the box next to the name of the template you want to add to the Assessment. You can also select multiple templates to add to the Assessment. 
As soon as you move the mouse over the name of the template, an "eye symbol" appears on the right. Click on it to view the template, a preview or both at the same time. This will ensure that you select the correct template and add it to the Assessment. You can find more information about the preview of the Report template here.
Templates with errors that prevent the creation of a finished results report are indicated with a red exclamation mark to the right of the template name.
You can only select templates here that you have already created and uploaded under "Templates". 
For many created templates, you can use the search box to find a specific template by typing the name of the template.
Click "Save" to keep your selection or "Cancel" to discard your selection.



View report templates

You can preview the template by clicking on the template preview - here you can only view your uploaded file, but not make any changes. The created template appears on a new page. 
In the top menu, you can choose between "Template", "Preview" and "Show both". By default, you will see the "Template View" here. This view shows your uploaded template with the placeholders you created. Once you click on "Preview" in the top menu next to "Template", you will see the preview of a finished report. This preview is based on your individual template that you uploaded and is filled with sample information and text blocks.
This is not the information and data from one of your Assessments. The information and text modules in the preview will help you create templates in the best way possible, so you can see what the finished report will look like and make any changes you want.
If you click on "Show both", a split-screen view appears in which you can see the "Template" and "Preview" screens side by side and compare them with each other.

In addition, the Applysia Report Assistant supports you in creating report templates. If the placeholders in the previously created templates were not used correctly, for example because a "}" was forgotten, you will be notified here. If you click on the template name and you are in the "Template" tab, you will see a red notice at the top "Invalid template - Watch out for comments in document, to resolve the issues". In the view of the template you will see a note about the errors in red on the right edge in the form of comments. 
Be sure to copy the placeholders 1:1 into your templates so that the reports can be created smoothly.
If there are errors in a template, you cannot view a "Preview" or a parallel view of the template and preview.



You can click the "Download icon" in the top right corner of this view to download the template. Click on the "Edit in Word" or "Edit in PowerPoint" button, depending on whether it is a .docx or .pptx file, to edit the report template directly in Office. Further information on editing report templates can be found further down on this page.

At the bottom right, there are three different features available for you to customize the view of the template. Click on the icon with the expanding arrows to view the template or preview on the full screen in the same tab. Click the button again to shrink the view back to its original size. Click the "plus icon" or the "minus icon" as many times as you like to zoom in and out of the view.

You can close the preview and template view page by clicking the "arrow" at the top left and you will be back on the template overview page.



Edit report templates

Once you have added report templates to the Assessment, you can click on the three dots at the bottom right. Various options are available here.
  1. Clicking on "Edit" opens a new pop-up window with the editing options. Three tabs are displayed here: "General", "Charts" and "AI". By default, you are initially in the "General" tab: 
    1. Under "Name" you can customize the name of the report template.
    2. Also, under "Placeholder Name" you can name the report template using placeholders. For example, if you want your final reports to include the name of the corresponding Candidate or the date on which the Assessment Center was conducted, you can use placeholders to customize the template name accordingly. The placeholders in the name of the final report will then also be filled with the assessment-specific information. Specifying the placeholder name is optional. You can use the following placeholders to customize the report template name:
      1. {cand_first_name}
      2. {cand_last_name}
      3. {cand_full_name}
      4. {cand_email}
      5. {ac_name}
      6. {ac_position}
      7. {ac_description}
      8. {ac_organisation}
      9. {ac_start_date}
      10. {ac_end_date}
      11. {workspace_name}
      12. {model_name}
      13. {model_organisation}
      14. {current_date}
If you want to include the name of the Candidate in the title of the report, the placeholder name can be used, for example: "Report {cand_full_name}". The title of the final report will then be automatically filled in when the reports are created: "Report Kim Candidate".
A preview appears in gray below the field in which you can enter the placeholder name. The preview shows what the title of the finished report will look like.
  1. Under "Language", you can use the drop-down menu to select the language you wish the report to be generated in. The default language is German. Alternatively, you can also select English. The language setting applies to all texts generated by Applysia, such as the chart legends. All other elements that you add are adopted 1 to 1 in the respective language.
  2. You can also set all ratings in the report to be displayed as percentages instead of the values on the defined scale. The values in the diagrams are also displayed as percentages. To activate this option, click on the slider to the right of “Transform all ratings to percentages”. You can deactivate this option by clicking on the slider again.
Click on “Save” to save your entry or click on “Cancel” to discard the entry. You will then return to the overview page.

Click on "Charts" to the right of "General" to customize the labels of the data series in the charts. If you do not make any changes here, the legends of the charts that you add to your reports will be filled with the Applysia labels by default. You can see these in the field below the description of the respective data series. You can store individual labels for all chart series. To do this, click in the field and enter the new label.

If you want to save your entries, click on the "Save button" at the bottom right. To discard your changes, click on "Cancel". You will then see the overview page again.

Click on "AI" to the right of "Charts". In this tab, you can enter a sample summary for a management summary. With the help of AI-based placeholders, you can then integrate an automated and assessment-specific management summary into your report. This is based on the competency notes and ratings from the assessment and is geared towards the tone and level of detail of the sample report. Use the corresponding placeholders in your report template to create the automated management summary. 
As this is still a beta version, we ask you to check the automatically generated management summary in advance. 
Click on "Save" to save your entry or click on "Cancel" to discard the entry. You will then be returned to the overview page.





  1. Click on "Edit in Word" if it is a .docx file, or on "Edit in PowerPoint" if it is a .pptx file, to open the report template in the Office application on your computer and edit it there. Once you have opened the file in Word or PowerPoint, you can make any changes you like. Save the file in Word or PowerPoint using the “Save-button” or by using the key combination "Ctrl + S" for Windows and "cmd + Shift + S" for Mac and the changes will be automatically applied in the Cockpit - you do not need to upload the updated version again. After you have saved your changes in Office, the updated template will be checked again for errors by the Applysia Report Assistant. During the check, you will see the message "Report template is checked for errors". Further information on the Applysia Report Assistant can be found further up on this page.
  2. By clicking on "Download" you can download the created template with the placeholders and you will get a Word or PowerPoint file, depending on how you originally uploaded the template. In the downloaded template, you will then also see the Applysia Report Assistant comments, which will alert you to any errors in your template.
  3. Click on "Replace" to replace the current template with a new one. The file view of your computer will then open and you can select and upload a new report template.
  4. Click "Delete" to delete the template in question. A pop-up window will open where you will need to enter the name of the template you want to delete and click "Confirm" before the template is actually deleted. You can also click "Cancel" and return to the overview.


The report templates you add to an Assessment are also duplicated when you duplicate the Assessment.
