Create templates

To create a new template, first select in the top menu under "Competence Model" and "Report" what type of template you want to create. 

Competence model

To create a new template, click on "Templates" in the header and then on "Competence Model" and then on the "Add" button at the top right in the template overview. 
A new page "Create Template" opens with various options.

Here you can fill in the following fields under "General": 
  1. Under "Name" you can set the name of the template. You can later find the template under this name in the overview as well as when creating and editing an assessment.
  2. Under "Organisation" you can use the dropdown menu to select which organisation you want to assign the template to. Here you can choose between all organisations you have access to.
  3. Under "Report" you can link a report template already uploaded in the administration interface with the competence model. When you create an assessment with this competency model, the linked report template will also be automatically integrated into the assessment

Even if you have already stored report templates in your assessment, the report templates linked to the competency model will be integrated into your assessment.

Then, under "Settings", you can use the slider on the right to select whether you want to allow the final adjustment of competency ratings in the conference or not. Here, moderators have the option to enter final values for the competencies of individual candidates, which may deviate by a maximum of +- 0.5 scale points from the consolidated ratings. Next, you can individually configure the rating scale under "Scale".  
  1. You can set the "Minimum" and "Maximum" of your scale by either clicking in the field and selecting the desired number with the gray arrows or using your keyboard to type in the number. By default, a scale from 1 to 5 is set. 
  2. Under "Step Size" you can specify whether the scale should be in 0.25, 0.5, or 1 steps. By default, 1 steps are set here.

The changes are displayed directly under "Scale Labels". 
Under "Scale Labels" you can specify how you want to name your anchor points, e.g., from 1 "does not apply at all" to 5 "applies completely". In the observer interface, the numbers of the scale are automatically displayed, so you do not need to enter them additionally. 
Warning
Your entries for "Minimum", "Maximum", and "Step Size" cannot be changed after you have created the template.
Alternatively, you can activate the slider next to "Use labels instead of numbers" if you want to label your anchor points individually with symbols/characters instead of numbers. 
InfoThe scale labeling instead of numbers can only be activated if the scale labels consist of a maximum of three characters. If the scale label contains more than three characters per anchor point, this feature cannot be activated and used. Please shorten the scale labels to a maximum of three characters and activate the feature in the next step.
Enter the desired symbols/characters for each anchor point individually in the fields to the right of "Scale Labels".

By default, this function is deactivated in the administration interface. 
These individual labels will then be displayed in the observer interface instead of numbers. When assessing and consolidating the values, you select the desired expression from the stored symbols/characters. Also, in the conference and in the graphical representations, the consolidated and finalized ratings are displayed using the symbols/characters. Please note that the charts in the report templates cannot be used with symbols. You can integrate the charts into your report as usual, but the scale labeling will still be done using numbers - even if you have activated the individual scale labeling.

To create the template, click "Save" at the bottom right. A new page with your created template will then open. Here you can make further settings. The respective settings are explained in more detail in the "Edit templates" folder.
InfoOnce you have created your template, you can access it by clicking on "Templates" in the header. All created templates are listed there.



Report

To create a new template, click on "Templates" in the header and then on "Report" and then on the "Add" button at the top right in the template overview. 

If you click the "Add" button next to the search field, your computer's file overview will open. Here you can upload finished templates in Word and PowerPoint format. Select the desired template from your files and click "Open" in the file overview. Alternatively, you can add the template by double-clicking on the file name. To cancel the process, select "Cancel".

While you add the template to the overview, this template is checked for errors in the background. If there are errors in the template that prevent the creation of a report, a red exclamation mark will be displayed next to the name of the template.



You can view the template by clicking on the name of the template - here you can only view your uploaded file, but not make any changes. The created template appears on a new page. 
In the top menu, you can choose between "Template", "Preview", and "Show both". By default, you see the "Template view" here. This view shows your uploaded template with the placeholders you created. Once you click "Preview" next to "Template" in the top menu, you will see a preview of a finished report. This preview is based on your individual template that you uploaded and is filled with sample information and text blocks.

These are not the information and data from one of your assessments. The information and text blocks in the preview help you to optimally create templates so that you can see how the finished report will look and make any changes. 
If you click on "Show both", a split-screen view appears where you can see the "Template" and "Preview" views side by side and compare them. 

Additionally, the Applysia Report Assistant supports you in creating report templates. If the placeholders in the previously created templates have not been used correctly, for example, because a "}" was forgotten, you will be informed here. If you click on the name of the template and are in the "Template" tab, you will see a red notice at the top "Invalid template - Watch out for comments in document, to resolve the issues". In the template view, you will see a note on the errors in red on the right margin in the form of comments. 

Warning
Make sure to adopt the placeholders 1:1 in your templates so that the reports can be created smoothly.

If there are errors in a template, you cannot view a "Preview" or a parallel view of the template and preview.



In this view, you can click the "Download Icon" at the top right to download the template. Click the "Edit in Word" or "Edit in PowerPoint" button, depending on whether it is a .docx or .pptx file, to edit the report template directly in Office. 

InfoYou can edit the template in Word or PowerPoint directly from the administration interface. The adjusted template will then be automatically updated in the administration interface. More information on editing report templates can be found here.

At the bottom right, you have three different functions to adjust the view of the template. Click the icon with the expanding arrows to view the template or preview in full screen in the same tab. Clicking the button again will reduce the view back to its original size. Click the "Plus Icon" or the "Minus Icon" as often as you like to enlarge and reduce the view as desired.

You can close the view page of the preview and the template by clicking the "Arrow" at the top left next to the name of the template and then return to the overview page of the templates.
