Templates - Report templates

NotesRelevant for: Workspace administrators, administrators (see "User roles")
Click on the name of the report template to view it. A new page with various navigation options will open. More information can be found under "Create templates". Alternatively, you can access this view by clicking on the "3 dots" on the right and selecting "View".

When you click on the "3 dots", you will see additional customization options:
  1. Click on "Edit in Word" if it is a .docx file, or "Edit in PowerPoint" if it is a .pptx file, to open the report template in the Office application on your computer and edit it there. If you are using this editing option for the first time, a notice will appear with more information on how to edit the template in your Office application. After opening the file in Word or PowerPoint, you can make any changes there. Save the file in Word or PowerPoint using the save button or the keyboard shortcut "Ctrl + S" for Windows and "Cmd + Shift + S" for Mac, and the changes will be automatically transferred to the administration interface - you do not need to re-upload the updated version. After saving your changes in Office, the updated template will be re-checked for errors by the Applysia Report Assistant. More information about the Applysia Report Assistant can be found here.
  1. Clicking on "Edit" opens a new pop-up window with editing options. Here you will see three tabs: "General", "Charts", and "AI". By default, you are initially in the "General" tab:
    1. Under "Name", you can adjust the name of the report template.
    2. You can also name the report template using placeholders under "Placeholder Name". If the final reports should, for example, contain the name of the respective candidate or the date the assessment center was conducted, you can adjust the name of the template using placeholders accordingly. The placeholders in the name of the final report will then also be filled with the assessment-specific information. Providing a placeholder name is optional. You can use the following placeholders to adjust the name of the report template:
      1. {cand_first_name}

      2. {cand_last_name}

      3. {cand_full_name}

      4. {cand_email}

      5. {ac_name}

      6. {ac_position}

      7. {ac_description}

      8. {ac_organisation}

      9. {ac_start_date}

      10. {ac_end_date}

      11. {workspace_name}

      12. {model_name}

      13. {model_organisation}

      14. {current_date}

Info
If you want to include the candidate's name in the title of the report, the placeholder name can be used as follows: "Report {cand_full_name}". The title of the final report will then be automatically filled when the reports are created: "Report Kim Kandidat".
Below the field where you can enter the placeholder name, a preview in gray text will appear. This shows how the title of the finished report will look.
  1. Under "Language", you can select the language in which the report should be generated using the drop-down menu. By default, the language is set to German. Alternatively, you can also choose English. The language setting applies to all texts generated by Applysia, such as the legends of the charts. All other elements added by you will be taken over in the respective language 1 to 1.
  2. You can select the organisation to which this report template is to be assigned from the drop-down menu under "Organisation". In the overview of report templates, the organisation is displayed, which you can also sort the templates by for better clarity. Providing the organisation is optional.
  3. You can also set that all ratings in the report are output as percentages instead of the values of the stored scale. The values in the charts will also be displayed as percentages. To activate this option, click the toggle switch on the right next to "Transform all ratings to percentages". You can deactivate this option again by clicking the toggle switch again.
Click "Save" to apply your changes or "Cancel" to discard the input. You will then be back on the overview page.

Click on "Charts" next to "General" to adjust the labels of the data series in the charts. If you do not make any changes here, the legends of the charts you add to your reports will be filled with the default Applysia labels. You can see these in the field under the description of the respective data series. You can store individual labels for all chart series. To do this, click in the field and enter the new label.
If you want to save your entries, click the "Save" button at the bottom right. To discard your changes, click "Cancel". You will then see the overview page again.

Click on "AI" next to "Charts". In this tab, you can enter a sample summary for a management summary. Using AI-based placeholders, you can then integrate an automated and assessment-specific management summary into your report. This is based on the competency notes and ratings of the assessment and is oriented to the tone and level of detail of the sample report. Use the corresponding placeholders in your report template to create the automated management summary.
Info
Since this is an AI-generated summary, you must review it carefully to avoid errors.
Click "Save" to save your input or click "Cancel" to discard the input. You will then be back on the overview page.

  1. Click "Replace" to replace the current template with a new template. The file view of your computer will then open, and you can select and upload a new report template.
  2. By clicking "Download", you can download the created template with the placeholders, and you will receive a Word or PowerPoint file, depending on how you originally uploaded the template. In the downloaded template, you will also see the comments from the Applysia Report Assistant, which will point out errors in your template.
  3. Click "Delete" to delete the respective template. A pop-up window will open in which you must enter the name of the template to be deleted and click "Confirm" before the template is actually deleted. You can also click "Cancel" to return to the overview.
