General

If you click on "Documents" in the bottom line, you will see an overview of all the documents that have been stored and are available for you to view. These are sorted by exercise and by Candidate. 

For example, you can see exercise-related documents such as interview guidelines or exercise descriptions, but also candidate-related documents such as CVs and other application materials.  




Click on the documents to open them in the left window. Here you can then 

  1. navigate to bookmarks,
  2. perform word searches and 
  3. share documents with Candidates.  

To return to the document overview, click on the "enumeration icon" to the left of the document name. 



Share documents

To share documents with Candidates, you have two different options:

  1. Select the desired Candidate in the Assessment overview under "Candidates" and click on the "folder icon". All available documents will be displayed on a new page. 
  2. If you are on the "Assess page" of an exercise, select "Documents" in the bottom bar. All available documents will be displayed on a new page.
If you are in a group exercise, the available documents for each Candidate will be displayed here individually. 

If you have previously stored exercise-specific documents in the Cockpit, these will be displayed here in addition to the applicant-specific documents. For more information on how to upload exercise-specific documents in the Cockpit, click here.

You can now share a document or multiple documents at once by clicking "Share" in the upper right corner and select the documents you want to share. If you want to share all available documents with the Candidate, click the box next to the Candidate's name and all files will be selected for sharing. 

If you also want to share (all) exercise-specific documents with the Candidates, check the box next to the exercise name to select all documents at once or select the files individually by placing check marks.

Then confirm your selection by clicking the "Share button" at the bottom right. A pop-up window will open. Here you can

  1. set start date and time and
  2. set end date and time;
  3. when sharing exercise-specific documents, you also have the option to select the Candidates with whom the files are to be shared. Confirm your selection of Candidates by clicking "Ok" or discard the selection by clicking "Cancel".
For candidate-specific documents, you can only specify the start and end time, as these files can only be shared with the specific Candidate.

Clicking on "Confirm" in the bottom right corner will start the release of the documents. You can discard your settings by clicking on "Cancel".




By default, the current date is set as the release start date. To change the date, click in the "Start Date" field, a new pop-up window will open where you can select the desired date in the calendar view. 

The release date must be in the future. 

You can also adjust the end date exactly as described above.




By default, the current time is set as the release start time. To change the time, click in the "Start time" field, a new pop-up window will open where you can select the time. Click on the hours or minutes and move the dot in a circle on the clock - to the left to decrease the period and to the right to increase it.

If you have selected the release duration, click "Confirm" at the bottom right. You will then see an overview of the documents again. The timer in the candidate-specific color on the right side shows which document is shared with the Candidate. Clicking on the timer opens a pop-up window. You can see from when and how long the corresponding document is shared. 

As soon as the document has been shared, the Candidate automatically receives an e-mail with a link and a code to the e-mail address stored in the Cockpit. The Candidate can then view the shared document in the Candidate Portal and download it if necessary. You can find more information about the Candidate Portal here

The email is sent automatically the first time you share a document. Therefore, only share documents if the Candidate should actually have access to them.


To stop the share, click on the timer next to the corresponding document. In a new pop-up window, you can simply click on the red "x" on the right and confirm the selection by clicking on the "Confirm-button" at the bottom right. This will end the share immediately, even before the set share duration expires.
