Documents

Relevant for: Normal observers, lead observers, moderators (see "User roles")

General

When you click “Documents” in the lower line, an overview of all stored and accessible documents will appear. These are sorted by exercise and by candidate. You can view exercise-related documents such as interview guides or exercise descriptions, as well as candidate-related documents such as resumes and other application materials.

You will also see the “Self Assessment” at the top of the page. As an observer and moderator of the assessment, you can share the self assessment with candidates for the exercise.

Click on the documents to open them in the left window. You can then:
  1. Navigate to bookmarks
  2. Perform word searches
  3. Share documents with candidates
To return to the documents overview, click the “Arrow” to the left of the document name. To return to the assessment overview, click the “Arrow” to the left of the exercise name.

Share Self Assessment

Click the “Share” button at the top right to unlock a specific self assessment for candidates in the Candidate interface.
If you are in a group exercise, all candidates for this exercise who can have their self assessment shared will be shown here. If only one candidate is in the exercise, you can only select this candidate.
Click the checkbox next to the name on the right to select the candidate. Click the checkbox again to deselect. Click “Select All” to release the self assessment for all candidates of this exercise simultaneously or “Reset” to clear the selection.
To start sharing the self assessment for the exercise, click “Confirm”. Click “Cancel” to abort the release.

To share the self assessment for multiple exercises simultaneously, navigate to the assessment overview and click the “Folder Icon” next to the name of the desired candidate. For more information on sharing the self assessment, see here.

You can see that you have shared the self assessment when the abbreviation of the candidate’s name appears in the candidate-specific color next to the “Share” button. Candidates can then complete the self assessment for the respective exercise in the candidate interface. For more information on the candidate interface, click here.
Clicking the icon opens a pop-up window where you can view the release details and end it by clicking the “x” on the right. Alternatively, you can use the “Unshare for all” button to revoke the self assessment for all candidates simultaneously. By clicking “Confirm”, you confirm the termination of the release, and the candidates will no longer be able to edit the self assessment in the candidate interface.

Only observers and moderators can release the self assessment for candidates per exercise. Silent observers do not have this authority.

Share documents

To share documents with candidates, you have two options:
  1. Select the desired candidate under “Candidates” in the assessment overview and click on the “Folder Icon”. A new page will show all available documents.
  2. On the “Assess page” of an exercise, select “Documents” in the lower bar. A new page will display all available documents.
If you are in a group exercise, available documents for each candidate will be shown individually.
If you have previously uploaded exercise-specific documents in the administration interface, these will be displayed along with the candidate-specific documents here. For more information on how to upload exercise-specific documents in the administration interface, click here.
You can now share one or multiple documents simultaneously by clicking “Share” in the upper right and selecting the desired documents. If you want to share all available documents with the candidate, click the box next to the candidate’s name to select all files for sharing.
If you also want to share (all) exercise-specific documents with the candidates, select the box next to the exercise name to choose all documents at once, or select the files individually by checking the boxes.
Confirm your selection by clicking the “Share” button in the bottom right. A pop-up window will appear where you can:
  1. Set the start date and start time
  2. Set the end date and end time
  3. For exercise-specific documents, you can additionally select which candidates should receive the files. Confirm your candidate selection with “Ok” or cancel it by clicking “Cancel”.
For candidate-specific documents, you can only set the start and end time, as these files can only be shared with the specific candidate.
Click “Confirm” in the bottom right to start the document release. You can cancel your settings by clicking “Cancel”.

By default, the release start date is set to the current date. To change the date, click on the “Start Date” field to open a new pop-up window where you can select the desired date in the calendar view.
The release date must be in the future.
You can also adjust the end date as described above.

By default, the release start time is set to the current time. To change the time, click on the “Start Time” field to open a new pop-up window where you can select the time. Click on the hours or minutes and move the dot in the circle to the right or left – left to shorten the time and right to extend it.
The release time must be in the future.
You can also change the end time as described above.

Once you have set the release duration, click “Confirm” in the bottom right. You will then see an overview of the documents. The timer in the candidate-specific color on the right shows which document is shared with the candidate. Clicking on the timer opens a pop-up window where you can see the start and end times for the document's release.
Once the document is shared, the candidate will automatically receive an email with a link and a code to the email address stored in the administration interface and can view and possibly download the shared document in the candidate interface. For more information on the candidate interface, click here.

The email is automatically sent the first time the document is shared. Only share documents if the candidate should have access immediately.

To end the release, click on the timer next to the corresponding document. In the new pop-up window, simply click the red “x” and confirm the selection by clicking the “Confirm Button” in the bottom right. This will immediately end the release, even before the set release duration expires. Alternatively, you can use the “Unshare for all” button to revoke the release for all candidates simultaneously.
