Observer interface: Overview

On the start page, you will now see all the assessments to which you have been assigned as an observer. In the top left corner, you will see the workspace logo that has been set for the assessment's workspace. The bluish accentuation shown in the screenshots will appear in the color that has been individually set for the workspace.

InfoOn the right side, you will see the "Manage Assessments" button and the “Observe” button. The “Manage Assessments” button opens the old version of the observation interface. The “Observe” button opens the new and improved observation interface. This version is currently still under development but is already accessible to users. Its development status is indicated by the “Beta” label.

In the top-right corner of the overview page, you will find a notification about current updates. This notification is a button that provides access to the related communication and announcements.

In the upper right corner, you will seeyour "name". When you click the button, a new page opens where you can make settings in the observer interface or choose to log out.

Depending on the screen size, information may be displayed in a reduced format. On narrower screens, the displayed name may be shortened to the initials of the first and last name, the buttons in the top left for switching between different versions of the observation interface may be hidden, and on very small screens, the information in the top right may be consolidated into a hamburger menu (three-line menu). Clicking this menu provides access to all mentioned areas and information.

Settings

The menu on the left-hand side indicates that you are currently in the “Account” section. This can be identified by the slightly darker text highlighting. Here, you will find the sections “Profile”, “Appearance”, “Security”, and “Privacy”.

Profile

Under “Profile”, you can update your first name, last name, and email address.

Preferences

Under “Language”, you can adjust the language (German, English, French, Dutch, and Spanish) as well as the time zone using the drop-down menus.  Select the desired option from the drop-down menu.

In addition, under “Start View”, you can choose whether you would like to be directed to the “Observation Interface – Legacy App” or the “Observation Interface Beta” by default after logging into the Applysia software. Select “Observation Interface Beta” if you primarily work in the new and improved observation interface.

Under “Left-Handed Mode”, you can enable left-handed mode for the observation interface. This setting affects which side of the screen the notes panel is displayed on during the assessment process.

Security

Under “Security”, you can set a new password. To do so, you must enter your current password, your new password, and a confirmation of the new password.

The password must be at least eight characters long and include uppercase and lowercase letters, at least one special character, and at least one number.

Privacy
Under "Privacy Settings," you can decide whether or not to share your usage data with Applysia to improve the software. Use the "toggle switch" on the right to turn the analytics function on or off. You can also access the privacy policy from here and view it on the Applysia website.

In the left-hand menu, the “Security” section is also available under “Account”.

Under “Security”, you can manage your Multi-Factor Authentication (MFA) devices for additional account protection. MFA significantly increases the security of online accounts and device data by preventing unauthorized access, even if passwords are compromised. This is achieved by requiring a second, independent authentication factor in addition to your password.

Using the colored “Add Device” button in the top-right corner, you can add one or more devices for MFA use. Clicking this button takes you to a separate page containing setup instructions and a QR code. You can configure MFA there using a compatible authentication app such as Google Authenticator or Microsoft Authenticator.

An alternative to MFA devices is the use of "backup codes".

During the transition phase from our legacy observation interface to the new version, you will see a blue-colored disclaimer:

To the right of the “Observe” heading, you will find a search field.

Using the search field in the top-right corner, you can search across all assessments using keywords to quickly locate the desired assessment. The matching search term will be highlighted in the results. To clear the search, click the “x” on the right side of the search field.

You can sort your existing assessments by clicking on the column headers “Date”, “Name”, “Organization”, “Target Position”, and “Status” to arrange them in ascending or descending order. By default, assessments are sorted by creation date.


Assessment Status

The assessments displayed to you can have different statuses. For more information on changing a status, click here. The assessments displayed to you may have different statuses. The status of an assessment is shown on the far right. Possible statuses are “Draft”, “Active”, and “Completed”. Assessments in which you are participating will typically have the status “Active”. Regardless of an assessment’s status, you can open it with a single click. 

Assessment in Draft Mode
- If the assessment has not yet been activated by your administrator, the status “Draft” will appear in grey in the corresponding assessment row.

Active Assessment
- Once the administrator has activated the assessment, the status “Active” will appear in green in the corresponding assessment row.

Completed Assessment
- When an assessment has been completed, the status “Completed” will appear in blue in the corresponding assessment row.
