Assess: Notes

In the observer interface you work in landscape mode by default and can refer to the screenshots 1:1. On smaller devices or if you resize the window, you can also work in portrait orientation. Depending on your choice, the view for notes will differ, but the explanations and screenshots can be easily transferred to portrait mode as well.

  • In landscape mode, notes are always visible on the right side, regardless of what is selected on the left side in the lower bar, whether it’s “Assess” or “Documents”. 

  • In portrait mode, you can choose between “Assess”, “Documents”, and “Notes” in the lower bar and then see only the selected page on the entire screen.

InfoIf the assessment is still in draft status, you cannot make notes. While you can click “Assess” in the schedule and open the new page, you cannot evaluate or make notes.

Competency Notes

In the upper text field, the same competencies are displayed as those you see on the left side of the assess page and observe during the assessment.

To make a note for a specific competency, click the icon on the far right with three lines and a “+”. A new line will appear for the corresponding competency with the hint “Enter ‘+’, ‘-’ or ‘0’ to change the category”. In this line, you can not only note your observations but also categorize them. You have three categories for categorizing notes:

  • “Strengths” (shown by the green circle with the plus),

  • “Development Areas” (shown by the red circle with the minus), and

  • “Neutral Observations” (shown by the gray empty circle).

To switch between categories, press either “-” (Development Area), “+” (Strength), or “0” (Neutral) on your keyboard, or click the “Swap Arrow Icon” next to the circle that shows the category. Alternatively, you can switch categories using the “Tab Key” on your keyboard.
To add another note to a competency, click the “+” icon again.
To delete a note, click the red “Trash Icon” on the right side of the screen.

InfoThe “Trash Icon” only appears when you click in the line with the note. 

Clicking the “Arrow” next to the competency name allows you to collapse and expand individual notes for the respective competency.
To keep an overview, you can click “Expand All” at the top of the page to view all competency notes simultaneously and “Collapse All” to collapse them again.

General Exercise Notes

For general exercise notes, click in the lower text field and enter your notes using the keyboard. Here, you can make competency-crossing notes in any exercise. You have many formatting tools available above the text field to edit your notes accordingly.

InfoIn the web-based observation interface, you can only make text notes and competency notes. Handwritten notes cannot be made but can be viewed.

The notes you make are assigned to each individual candidate. If you are in a group exercise with multiple candidates and want to switch between them, click the “Candidate Name” in the upper right, and a drop-down menu will open allowing you to select between all available candidates for this exercise.
If only one candidate is assigned to this exercise, you cannot switch between different candidates. The candidate’s name will not be clickable.

InfoPlease note that you need to submit the ratings and notes for each candidate individually.

You can download your notes in the assessment overview under "Export Notes" (top right).

InfoThis button can only be clicked if there are already notes in the assessment. Otherwise, the button is grayed out and cannot be clicked.

InfoThis button is only visible to you if you have been granted permission by the (workspace) administrator to export files from the assessment. Further information on the authorizations of the user roles can be found here.
